Job Description

Reporting to the Director, the Assistant Director is responsible for the all financial operations for Housing Services: Financial Reporting, Accounting Services, Auditing Services, Housing Main Cashiers, Consolidated Billing, Accounts Receivable and Customer Service. Oversee the managers and staff to ensure the operations are completing all responsibilities in compliance with UC, Campus policies, PCI, and internal audit guidelines. Fiscal responsibility for annual and revised budgets for Housing Services, which would include approving variance reporting. This would include annual analysis and recommendations for consolidated billing. Financial Reporting encompasses; operational budgets and variance, consolidated payment reconciliation, revenue analysis for H&HS, and oversees the Housing Main Cashier operations. Accounting Services encompasses; processing, billing, and reconciling all revenue journal entries related to H&HS owned or managed properties, Housing Services expense reconciliation and journal entries, auditing operating statements, processing accruals and adjustments, and processing all Hospitality units billing. In addition has fiscal responsibility for the minimization of bad debt, and the management of expenses related to staffing in proportion to housing growth. Oversees the Accounts Receivable Team in the annual billing and collection of approximately $250 million and over 17,000 accounts, which represents activity of all facets of housing collection of revenues. Customer Service management, responsible for customer service related to the Accounting Services, Accounts Receivable, and Housing Main Cashiers, which represents external customers and internal cross organizational departments. Manages the consolidating billing, payments, and reconciling student accounts. Housing Main Cashiers encompasses processing all payments for the consolidated bill and payments for received for H&HS. Housing Main Cashiers provides guidance and training for all sub cashiers of H&HS to ensure adherence to all policies and procedures. Responsible for the operating budgets for major areas of Housing Services. Major duties include hiring and training of all manager and supervisor positions for Housing Services. Strategize and recommend changes to improve cost effectiveness and enhance operational efficiency while meeting strategic goals and metrics for the division. Organize regular meetings with the Financial Aid, Housing Budget office, Financial Management Services, Administrative Main Cashiers Office, Administrative Information Services, and General Accounting to ensure information is distributed properly to campus departments and the residents of University Housing. Provide supervisory assistance and coverage to other Housing Services Offices in the absence of a member of the management team. Responsible for cross training managers and staff to ensure coverage of Housing Services duties.
