Assistant to the Food and Beverage Director
Job Description
Under the general supervision of the Director, Food & Beverage (LCC), the Administrative Assistant position provides office management and organization, public relation functions and financial and administrative support to the Director, Food & Beverage. Responsible for planning and managing the Director, Food & Beverage’s calendar; researching, drafting and preparing memos and correspondences; coordinating travel itineraries for the Director, Food & Beverage; establishing and maintaining both electronic and manual files; establishing relationships and systems to effectively monitor deadlines critical material required from subordinate administrative and operational units. Exercising authority to collect and provide information and to resolve issues; providing direct supervision to an office staff of student workers.
This role is responsible for managing the F&B Director’s daily schedule, updating the F&B Director on project and event timelines, coordinating the involvement of subject matter experts, consultants, GM and the AVC when appropriate. This position also supports the financial management of the F&B Director, LCC by tracking expenses and creating variance reports for the annual operating budget. This role also ensures that expenses generated by the department are allocated to the appropriate units and that LCC property expenses are processed according to University policy. Researches and develops department financial and white paper reports.
Incumbent manages incoming requests and inquires to the Food & Beverage (LCC Dining); facilitates communications between LCC Dining and the leadership team; including coordination of workflow; researching, drafting and editing a variety of correspondence for F&B Director, use and/or signature.
Must be able to work nights, weekends and some holidays.
