Job Description
Ensure that conference details are executed successfully within our 80,000 square feet of meeting space and our yield of 10,000 bed space inventory. Revenue generated off-sets student housing costs and provides additional income for facility improvements. Support and promote global sales efforts of other revenue generating entities in Housing & Hospitality Services such as Lake Arrowhead and UCLA Catering. Travel and represent UCLA at national and international trade shows and networking functions. Participate actively in distinguished memberships, associations, and organizations that increase the visibility of the department within the University, the community, and the hospitality industry. Service both existing clients and new groups. Maintain organized and detailed records of accounts within physical files and digital files and then to coordinate group needs while on-site. Input conference detail information into Delphi reservation software, create contracts, monitor deadlines and due dates, order goods and services, and communicate detailed information about groups by producing and distributing group resumes to operational units. Participate in advertising/marketing campaigns by attending tradeshows, making sales calls and following up on inquiries and requests for proposal. Schedule and lead on-site visits with meeting planners from new and existing groups. Assist the Accounting Department with billing and collections to include purchasing, managing internal/external vendor charges and account reconciliation.
