Executive Administrative Assistant
Job Description
Under the general supervision of the Director, Dining Services, the Executive Assistant to the Director provides office management and organization, public relation functions and financial and administrative support to the Director, Dining Services. The position is responsible for planning and managing the Director’s calendar; researching, drafting and preparing memos and correspondences; compiling information and creating presentations for internal/external meetings; assisting with research for various projects; coordinating travel itineraries for the Director; establishing and maintaining both electronic and manual files; establishing systems to effectively monitor deadlines critical material required from subordinate administrative and operational units. Exercising authority to collect and provide information and to resolve issues.
The target hourly compensation for this position is between the posted minimum and $26.44.
Working hours vary, includes nights and weekends.
Job Qualifications
Demonstrated writing skills to develop concise, well-organized and grammatically correct business correspondence and administrative reports.
Required
Demonstrated skill in providing accurate word selection, punctuation and formatting for correspondences and administrative reports.
Required
Demonstrated expert knowledge of word processing, spreadsheet, e-mail, calendaring and graphic programs.
Required
Skill in performing basic accounting transactions.
Required
General knowledge of personnel, purchasing, and accounting processing.
Required
General knowledge of University policies and procedures.
Preferred
Ability to utilize Kronos time and attendance system.
Can be trained
Skill in coordinating complex travel itineraries and calendars.

Demonstrated skill in establishing and maintaining administrative files.

Knowledge of spreadsheet and electronic data storage and retrieval systems.

Skill in formatting and analyzing statistically based data sheets and financial reports.
