Office Manager for the Assistant Vice Chancellor

Job Description

Reporting to the Senior Manager of Communications and Special Projects, this position provides high-level project and office management support to the Assistant Vice Chancellor of Housing & Hospitality (H&HS) and the AVC Office team. Duties include coordination of logistics and administrative support of strategic-level projects and events such as the annual H&HS town hall meetings, annual employee survey, openings of new facilities, housing and hospitality meetings and conferences, employee recognition events, and other executive-level support for a variety of campus and off-campus meetings related to housing and hospitality in the higher education environment. The incumbent also conducts research and analysis for mission-critical projects and supports organization-wide efforts including the employee survey, guest satisfaction surveys, market research, and accounting functions. Evaluates and helps to resolve or delegate problems and guest issues on behalf of the AVC Office.
The incumbent is responsible for managing the AVC’s daily schedule and project task list, updating the AVC on project timelines for multi-million dollar construction projects, coordinating the involvement of subject matter experts, consultants, and the AVC when appropriate; research and prepare presentations for review by senior campus leadership, the UC Regents, and the Office of the President; as well as managing logistics for design review checks sheets for both housing and hospitality large scale projects. This position also supports the financial management of the AVC Office by tracking expenses and creating variance reports for the annual operating budget. The incumbent ensures that expenses generated by the department are allocated to the appropriate units and that AVC Office expenses are processed according to University policy. Researches and develops department financial and white paper reports.
Incumbent manages incoming verbal and written requests and inquires to the AVC Office; facilitates communications between AVC and H&HS leadership team, including coordination of workflow; researching, drafting and editing a variety of Chancellor-level correspondence for AVC use and/or signature. Responsible for short and long-term planning and managing the AVC’s calendar, including coordinating arrangements for visitors and with other departments coordinating general executive office support functions as well as supervising additional administrative staff in execution of daily tasks and maintaining paper and electronic filing systems.”
