Reservations Agent

Job Description

Under direction of the Revenue Manager, the Reservations Agent administers all aspects of the hotel room inventory and reservations functions; record and process reservations made by phone/fax/email, website and third party resources, process amendments to reservations such as extensions, early departures, etc. based on availability. The incumbent will convert inquiries and reservations into a sale whenever possible in order to meet hotel targets, including rooms, restaurant and conference and event reservations for UCLA Hospitality Group. In addition to promoting the desired work culture in line with the UCLA Hospitality Group core values, the incumbent will maintain a regular pattern of sales calls, maintain reservation records-usually by date of arrival and alphabetical listing, prepare letters of confirmation and promptly process any cancellations and modifications. The incumbent tracks future room availability on the basis of reservations and helps develop forecasts for room revenue and occupancy.

Additional duties may include preparing the list of expected arrivals for the front office, assisting in preregistration activities when appropriate, and processing advance reservations and reservations deposits.

Must be available to work varying schedules; including evenings, weekends, holidays and over time in order to reflect the business needs of the department.

Job Qualifications

Must have a minimum of two years administrative and customer service experience.

Strong knowledge of Microsoft Office Suite, the internet and social media.

Strong organizational skills with the ability to multi-task in a fast paced environment.
