Job Description

Reporting to the UCLA LCC General Manager, the Rooms Director provides overall leadership, guidance, and direction for the Rooms Division Department in the LCC. The Rooms Director has responsibility for providing exceptional, professional, 24 hour/day, 4-star front office, bell and concierge, and housekeeping services to international, national, local, and campus guests. This position is also responsible for the execution of the day to day operations; implement University programs and manages the operations of the division in a manner consistent with proper policies and procedures to ensure a high level of quality and customer satisfaction. This position must regularly inspect cleanliness of facilities, maintain quality standards and take corrective or preventive action where necessary.

The Rooms Director is responsible for short and long term planning; recommend budget and manage expenses within approved budget for rooms division including front office, bell staff, housekeeping, maintenance and reservations. Builds forecasts and objectives to meet/exceed management expectations. This position is expected to participate in strategic planning and decision-making through various meetings and committees, as well as developing, communicating and implementing policies and procedures. This position also oversees refurbishment projects related to rooms, furnishings, fixtures, and equipment; also participates in property safety committee and serves as an emergency responder for the property. ”

23175 Sales and Event Manager 1/11/2016 2/14/2016 Full Time Hospitality Services and Sales Plan approximately 1500 events, conferences and meetings and over 3,000 catering delivery requests per year for campus and non-campus clientele. Responsible for selling meeting facilities in the northwest quadrant of campus representing approximately 60,000 sq. feet of meeting space divided amongst (3) full-service conference centers and other various locations within residential buildings. These facilities are utilized year-round in support of a robust Conference and Catering program that generates approximately $20 Million annually which goes toward off-setting student housing costs and provides additional income for facility improvements. Sales and Event Managers conduct sales calls (prospecting, cold calls, maintenance, setting appointments) and lead site visits. Support and promote the global sales efforts of other revenue generating entities in Housing & Hospitality Services such as the Lake Arrowhead Conference Center, Guest House and the Courtside Collection. Represent UCLA at networking functions and trade shows. Participate actively in distinguished memberships, associations, and organizations that increase the visibility of the department within the University, the community, and the hospitality industry. Negotiate and write detailed contracts, determine clients’ needs and produce written proposals that include theme delineation, décor, and menu and service requirements. Create bookings in the Delphi Sales and catering system. Assist the Accounting department with billing and Accounts Receivable. Establish other services and products that will generate additional revenue for the department. Provide exemplary customer service skills while interacting with team members, meeting planners, and guests in a high-volume, fast-paced environment. Must have and maintain a valid California Driver’s license.
27209 Sales and Marketing Administrative Assistant to Director of Sales 1/9/2018 1/23/18 Full Time Luskin Conference Center “Reporting to the Director of Sales and Marketing of the Luskin Conference Center, this position provides office management and organization, financial and administrative support. Responsible for planning and managing the DOSM’s calendar, researching, drafting and preparing memos and correspondences, coordinating travel itineraries and establishing both electronic and manual files. Responsible for managing and maintaining the Delphi database account management system, executing and coordinating all data and reports. Train new users on Delphi standards and serve as communication link between sales, conference planning system users and management and technology specialists.

Must be able to work nights, weekends and some holidays.
